Provencher_Roy is seeking a Senior Proposal Manager to actively support the Director of Proposals. This role includes the preparation, coordination, and delivery of commercial proposals for architectural mandates and professional services related to the construction industry.
The position may be based at the Montréal or Ottawa business office. Occasional travel across Canada is required, including frequent travel between the Montréal and Ottawa offices, depending on proposal and team needs.
This role is designed as both a strategic and operational position, focused on leading complex or strategic individual proposals, including submissions to public and private clients at the national level.
The incumbent does not oversee the firm’s entire portfolio of service offerings, but rather acts as the lead for specific proposals, under the direction of the Director of Proposals.
In this context, the Senior Proposal Manager is accountable for the quality, compliance, response strategy, and adherence to timelines of the proposals assigned. For the proposals they lead, the incumbent serves as the operational liaison between partners, project teams, business development, and senior management, with professional credibility aligned with best practices of leading architecture and professional services firms.
KEY RESPONSIBILITIES
1. End-to-end management of individual proposals
- Assume full lifecycle management of complex, strategic, or multidisciplinary individual proposals, including submissions across Canada.
- Analyze requests for proposals (requirements, evaluation criteria, issues, risks) and, in collaboration with the Director of Proposals, define the response vision and approach.
- Develop the proposal strategy, including positioning, key messages, differentiators, and narrative structure.
- Participate in internal reviews (kick-off, mid-point, pre-submission) and integrate feedback and strategic direction provided.
- Ensure final compliance, quality, and consistency of deliverables prior to submission.
2. Coordination, leadership, and proposal expertise
- Mobilize, coordinate, and support multidisciplinary teams assigned to proposals under their responsibility, including contributors from multiple offices.
- Develop schedules, prioritize tasks, and assign responsibilities.
- Provide daily guidance to contributors involved (proposal managers, coordinators, writers, graphic designers).
- Ensure the strategic, narrative, technical, and visual quality of all content produced.
- Work closely with technical teams to ensure the accuracy and relevance of the information presented.
3. Strategic collaboration and organizational alignment
- Work closely with the Director of Proposals to ensure alignment between proposals and the firm’s overall strategy.
- Apply established guidelines, tools, templates, and processes related to service offerings.
- Ensure smooth and structured communication between project teams, business development, and senior management in an inter-office collaboration environment.
4. Rigor, compliance, and document quality
- Act as the guarantor of operational excellence for proposals under their responsibility.
- Verify formal compliance, administrative completeness, visual consistency, and linguistic quality of documents.
- Oversee final validation prior to submission and ensure rigorous version control.
5. Contribution to continuous improvement
- Participate in the analysis of successful and unsuccessful proposals.
- Contribute to the continuous improvement of writing, strategic, and methodological proposal practices.
- Participate in knowledge transfer, occasional mentoring, and the development of collective expertise within the firm.
EDUCATION AND EXPERIENCE PROFILE
- Bachelor’s degree in architecture, engineering, construction management, business administration, or a related field.
- Additional training in communications, management, or marketing is an asset.
- Minimum of 5 to 10 years of relevant experience in the AEC sector (architecture, engineering, construction).
- Demonstrated experience in coordinating or managing proposals or service offerings.
- Professional certifications (APMP, PMP, or equivalent) are an asset.

- Bilingualism required (proposal writing in French and English).
